I am eager to connect with a proactive and detail-oriented Finance Administrator ready to make a meaningful impact in the world of film marketing and publicity. This is an exciting opportunity to join a dynamic team at a leading global entertainment company on an initial 3-month contract, with the potential to become permanent. Based in London, this role offers a hybrid working model with 2 days in the office per week. This role is paying £118 per day (PAYE).


Your Role:

As a Marketing and Publicity Finance Administrator, you will provide essential financial and administrative support to two fast-paced teams within our UK Theatrical division. This position suits an organised self-starter who thrives in a high-pressure environment and is passionate about ensuring smooth financial operations in a creative, high-profile setting.


Responsibilities:

  • Monitor the financials of film marketing campaigns, ensuring accurate tracking and alignment with reconciled media plans.
  • Investigate and resolve discrepancies between invoices, reconciled plans, and purchase orders (POs) by collaborating with internal teams and external agencies.
  • Process goods receipts for marketing POs against budgets and media plans, aligning with team and vendor expectations.
  • Raise and manage all POs for the UK & Ireland Publicity department, ensuring timely creation ahead of publicity activities and services.
  • Collaborate with senior leaders and cross-functional teams across the UK, EMEA, and global markets to align project budgets and resolve operational challenges.
  • Partner with the VP and Director of Publicity to determine annual publicity budgets for the slate of films, updating as needed.
  • Analyse past campaign budgets to improve future planning accuracy and support decision-making.
  • Coordinate with internal and external stakeholders to manage vendor relationships, ensuring procurement compliance and efficient onboarding.
  • Work with the events team to set up vendors, arrange upfront payments, and track budgets with contributions, ensuring accurate cost capture.
  • Reconcile post-event budgets, comparing spend vs. actuals, detailing costs and POs, and highlighting over- or underspend.


Requirements:

  • 1-3 years experience in a finance administration role. (Desirable film distribution, broadcasting, or a media environment).
  • Advanced Microsoft Excel skills and strong numeracy abilities to ensure accuracy in financial processes.
  • Excellent problem-solving skills, with the ability to tackle complex issues and deliver effective solutions.
  • Exceptional organisational skills, capable of prioritising tasks and meeting tight deadlines in a fast-paced setting.
  • Strong communication and multitasking abilities, with confidence in managing relationships with internal teams and external partners.
  • Familiarity with systems such as SAP, ICampaign, P-Card, Concur, Apex/SPARC, or Beeline/FlexTalent (advantageous but not essential).
