We are looking for an Executive Assistant who will play a crucial role in supporting UK Hub General Manager by managing the schedules/agenda, communications, and various administrative tasks.

We are looking for an Executive Assistant who will play a crucial role in supporting UK Hub General Manager by managing the schedules/agenda, communications, and various administrative tasks.
Here are some common responsibilities and qualifications for this role:
Responsibilities
- Scheduling and Calendar Management: Organize and maintain the UK GM’s calendar, schedule meetings, and coordinate appointments.
- Ensure all meetings and appointments are scheduled accurately and conflicts are minimized.
- Achieve seamless execution in scheduling, proactively utilize tools and maintain regular communication with executives to ensure seamless experience supported by positive feedback from the CEOs, LT Members, as well as UK Hub GM.
- Communication: Handle incoming and outgoing communications, including emails, phone calls, and correspondence where needed.
- Travel Arrangements: Plan and book travel, including flights, accommodations, and itineraries. Organize and manage all travel arrangements, ensuring smooth and cost-effective travel.
- Document Preparation: Prepare reports, presentations, and other documents as needed.
- Meeting Support: Take notes during meetings, prepare agendas, and follow up on action items.
- Office Event Management: Ensure the UK GM’s office runs smoothly, including ordering supplies and managing office equipment for the UK GM, as well as supporting employee engagement event activities in the office.
- Confidentiality: Maintain strict confidentiality regarding sensitive information and documents.
- Experience: Previous experience as an executive assistant or in a similar administrative role.
- Skills: Excellent organizational, communication, and time-management skills. Proficiency in office software such as Microsoft Office Suite.
- Education: A bachelor’s degree in business administration or a related field is often preferred.
- Professionalism: Ability to maintain a high level of professionalism and discretion.
