Executive Assistant to the COO

The Executive Assistant to the COO will provide high-level administrative support to the Chief Operating Officer, ensuring the smooth operation of the COO's office and supporting the strategic initiatives of the organization. This role requires excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion.


REPORTING TO: COO

LOCATION: Based in Newry, Co. Down

CONTRACT TYPE: Full Time, Permanent

HOURS: Monday – Friday 40 hours per week with early finish on Fridays



Key Responsibilities:

  1. Schedule Management: Manage and maintain the COO's calendar and schedule, coordinating meetings, appointments, and travel arrangements.
  2. Meeting Coordination: Organize and prepare agendas, minutes, and other materials for meetings, ensuring effective communication and follow-up.
  3. Report Preparation: Assist in the preparation of reports, presentations, and other executive communications, ensuring accuracy and timely delivery.
  4. Confidentiality: Handle confidential information with discretion, maintaining a high level of professionalism and integrity.
  5. Liaison: Serve as a liaison between the COO and internal/external parties, including other executives, department heads, and key stakeholders.
  6. Strategic Support: Support the COO in strategic planning and project management, providing insights and administrative assistance as needed.
  7. Administrative Support: Provide general administrative support, including data entry, filing, correspondence, and other office tasks.
  8. Project Management: Assist in managing special projects and initiatives, ensuring they are completed on time and within budget.
  9. Team Collaboration: Work closely with other executive assistants and administrative staff to ensure seamless operations and effective communication.

Qualifications & Experience:

  • A bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience as an executive assistant or in a role providing high-level administrative support.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to handle confidential information with integrity.
  • Professional demeanor and appearance.
