An exciting opportunity has arisen within the Surgical management team for an enthusiastic, motivated and committed individual as a Business Support Manager.

Main duties of the job

To provide management support to the Directorate management team and its clinicians, delivering outstanding service delivery and organisational performance. This includes working with others, to develop practical service planning delivery that supports improvements in patient experience and care.

The main focus of this role will to be to manage the inpatient and outpatient schedulers and medical secretaries for Urology, ensuring inpatient and outpatient targets are met within the Directorate, following the WG Referral to Treatment rules. This includes treat in turn, validation, E:lisiting, theatre KPIs etc.

The successful candidate will provide line management to the Inpatient and Outpatient booking Pod and medical secretarial and other administration roles. They will be expected to manage the cancer tracker and maintain RTT delivery. There will be an expectation to attend Directorate meetings and take minutes and actions where appropriate whilst also being the first point of contact for any concerns and complaints.

The post holder will be expected to work flexibly in order to ensure the smooth running of the department, and to be proactive in suggesting new ways of working.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

Education And Qualifications

Essential criteria

  • Educated to degree level or equivalent demonstrable knowledge and experience
  • Extensive use and knowledge of IT packages and applications, including Microsoft Office
  • Evidence of further study and personal development.
  • Knowledge of financial processes including expenses
  • Knowledge and understanding of project management processes

Desirable criteria

  • ECDL
  • Audio Typing
  • Experience in use of databases and online applications
  • Project Management Qualification

Experience

Essential criteria

  • Relevant previous experience in a similar role
  • Extensive secretarial / administrative experience
  • Experience of providing Project Management Support including the utilisation of Gant charts.
  • Knowledge of RTT rules and the ability to use the RTT database, CWS system and ORMIS theatre systems
  • Knowledge of the full range of administrative and organisational policies and procedures, acquired through training and relevant experience.
  • Experience of working with complex or sensitive information in a professional manner.
  • Extensive procurement experience including use of the Oracle procurement system as well as invoice payments
  • Experience of planning workshops and meetings including venue selection, materials preparation and coordinating multi-disciplinary attendees.

Desirable criteria

  • Experience of working with data, including routine reporting, analysis and reporting trends.
  • Knowledge of relevant organisational policies
